How to Choose the Right Receipt Paper for Your POS Terminal

Five checks that tell you exactly which receipt paper your POS terminal, card machine or cash register needs, before you order a full case.

The wrong receipt paper will not fit, will jam, or will not print at all. The right one comes down to five checks, and you can do all of them in a few minutes with the device in front of you.

1. Find the exact model number

Look for a label on the underside, back or inside the paper compartment of the terminal or printer. Write down the brand and model (for example, a brand name followed by a model code). The logo of your bank or payment processor on the screen does not tell you the model. Many processors, including Moneris, have supplied several different devices over the years.

Then look the model up in our Receipt Paper Compatibility Finder or the size chart by terminal. If it is not listed, send us the model number.

2. Check the manual for paper width and maximum roll diameter

The user manual or quick start guide from the maker or your processor lists the paper width and, usually, the largest roll diameter the compartment accepts. These two numbers are what matter. If the manual gives a roll length, treat that as a guide; the diameter is the real limit.

3. Measure the roll you use now

  • Width: about 57 mm means 2-1/4". About 80 mm means 3-1/8".
  • Diameter: measure a new, full roll across its face.
  • Core: note whether there is a cardboard core and roughly how wide the hole is. Most drop-in compartments do not care; spindle-mounted printers do.

4. Confirm thermal or bond

Most modern terminals and receipt printers are thermal: they print with heat, so there is no ink. Scratch the paper with a fingernail. Thermal paper shows a dark line. If your printer has an ink ribbon, it is an impact printer and needs bond or carbonless paper. See thermal paper vs bond paper.

5. Match the device type

Device Usual paper VANTROO option
Countertop debit/credit terminal with built-in printer 2-1/4" (57 mm) thermal 2-1/4" x 50', 50 pack
Handheld or wireless terminal 2-1/4" (57 mm) thermal, check diameter 2-1/4" x 50', 100 pack
Receipt printer beside the POS screen 3-1/8" (80 mm) thermal 3-1/8" x 230', 20 pack
Compact electronic cash register Often 2-1/4", check the model Cash register paper guide
Ribbon kitchen or impact printer Bond or carbonless, not thermal 3" x 95' 2-ply carbonless

Before you order a full case

If you are switching suppliers or sizes, start small: a 2-1/4" 5 pack or a 3-1/8" 10 pack lets you check the fit, cover closure and print quality. Once it works, move to a carton or a bulk case.

FAQ

Do I need special paper for credit card receipts?

No. Debit and credit card receipts print on the same roll.

Does paper weight matter?

Paper weight (GSM) affects thickness and feel. VANTROO thermal rolls are 55 GSM. Your manual's width and diameter limits matter more for fit.

What if my model is not on your site?

Contact us with the model number and a photo of the label and we will tell you which roll to order.
